Terms of Service

These Terms of Service ("Terms") govern all photography, drone, and related creative services provided by Coastal Properties Photography (operated by Zaid Al-Taie, sole proprietor, Vancouver, BC). By booking a shoot or using this website you agree to these Terms in full. If you are booking on behalf of a real estate brokerage, property management company, or development firm, you represent that you have authority to bind that organisation.

1. Who We Are

Coastal Properties Photography is a professional real estate and architectural photography service operating across Greater Vancouver and the Lower Mainland, British Columbia, Canada. We serve realtors, architects, property developers, strata managers, Airbnb/VRBO hosts, and homeowners who require high-quality visual content for MLS listings, marketing materials, and short-term rental platforms.

2. Services

We offer the following photography and content services across Vancouver, West Vancouver, North Vancouver, Burnaby, Kitsilano, Coal Harbour, Yaletown, Richmond, Surrey, Coquitlam, and surrounding areas:

  • Interior & Exterior Photography — Professional DSLR/mirrorless capture with ambient-blend flash technique, delivered in MLS-ready JPEG and high-resolution formats.
  • Aerial / Drone Photography & Video — Transport Canada–compliant drone operations; subject to weather, airspace restrictions, and RPAS regulations.
  • Twilight & Blue-Hour Photography — On-location dusk shoots; timing is weather and season-dependent and will be confirmed within 48 hours of the shoot date.
  • Virtual Twilight Editing — Day-to-dusk digital conversion of daytime exterior images.
  • Virtual Staging — Digital furnishing of vacant rooms; delivered as separate layered files.
  • Video Walk-throughs & Reels — Cinematic property tours edited for MLS, social media, and YouTube.
  • Floor Plans — 2D schematic floor plans prepared from on-site measurements; not to be used as legal or engineering documents.

Service scope, deliverable counts, and turnaround times for each engagement are confirmed at the time of booking. We reserve the right to subcontract specific services (e.g. certified drone pilots) while remaining responsible for overall quality.

3. Booking & Confirmation

A booking is confirmed only upon receipt of a completed booking request (via our website form or Pixieset booking link) and, where applicable, the required deposit or full payment. Until confirmation is sent by email, the date and time slot remains available to other clients.

  • Bookings must be made at least 48 hours in advance. Same-day requests are accommodated at our sole discretion and may attract a rush fee.
  • You are responsible for ensuring the property is accessible, prepared, and ready for photography at the agreed start time. A preparation checklist will be emailed upon booking confirmation.
  • If access is delayed by more than 20 minutes through no fault of ours, we reserve the right to shorten the shoot accordingly or reschedule at a rebooking fee.

4. Pricing & Payment

Pricing All prices are quoted in Canadian dollars (CAD) and include applicable taxes unless otherwise stated.
Payment methods Credit/debit card via Pixieset; e-Transfer to hello@coastalphotography.ca; invoice for approved business accounts.
Deposit A 50% non-refundable deposit is required to secure the booking for projects over $300 CAD. The balance is due on or before the day of the shoot.
Invoiced accounts Approved real estate brokerages may pay net-14 by e-Transfer or cheque. Overdue invoices accrue interest at 2% per month.
Rush fee Bookings with less than 48 hours' notice or next-business-day delivery requests attract a 25% rush surcharge.
Travel fee Properties outside our standard service zone (approximately 30 km from downtown Vancouver) may attract a travel fee quoted at time of booking.

Pricing is subject to change. The rate in effect at the time of your confirmed booking applies to that engagement.

5. Cancellation & Rescheduling

Notice Given Cancellation Fee
More than 48 hours before shoot No charge; deposit credited to a future booking within 90 days.
24–48 hours before shoot 50% of the total booking value (deposit forfeited; no further charge if deposit equals or exceeds this amount).
Less than 24 hours before shoot 100% of the total booking value.
No-show (property not accessible) 100% of the total booking value plus any applicable travel fee.

You may reschedule once at no charge with at least 48 hours' notice; subsequent reschedules are subject to a $50 CAD rebooking fee.

6. Weather & Force Majeure

Exterior, drone, and twilight shoots are weather-dependent. If conditions are unsafe or unsuitable (heavy rain, high winds, smoke, low visibility), we will notify you as early as possible and offer a no-charge reschedule. Interior photography will proceed regardless of weather unless the property is inaccessible.

Neither party is liable for failure to perform caused by events beyond reasonable control, including but not limited to acts of nature, government orders, airspace closures, or infrastructure failure. In such cases, bookings will be rescheduled at the earliest mutually convenient date.

7. Drone / Aerial Operations

All drone operations are conducted in compliance with Transport Canada RPAS regulations (Canadian Aviation Regulations, Part IX). By booking aerial photography you confirm that:

  • You have obtained any strata, building, or municipal approvals required to permit drone flight over or adjacent to the property.
  • The property is not subject to a drone-flight prohibition or deed restriction.
  • You will notify any relevant third parties (neighbours, property managers) of the planned aerial shoot.

We reserve the right to abort a drone shoot at any time if conditions become unsafe or a regulatory issue arises. In that event, you will be charged only for the ground photography completed, and the aerial portion refunded or credited.

8. Image Delivery & Turnaround

  • Edited images are delivered via private Pixieset gallery link within 48 business hours of the shoot (standard) or 24 business hours (rush, see Section 4).
  • Galleries remain active for 90 days from delivery. Download your images promptly; we are not obligated to re-deliver after expiry, though we will make reasonable efforts to assist at a $50 archive retrieval fee.
  • Final deliverables are high-resolution JPEG (MLS-ready) unless otherwise specified in writing at time of booking. RAW files are not included and are not sold.
  • Minor retouching (sky replacement, lawn greening, window pull, object removal) is included at our discretion for standard packages; extensive retouching or virtual staging is quoted separately.

9. Licence & Usage Rights

Upon receipt of full payment, Coastal Properties Photography grants the client a non-exclusive, perpetual, royalty-free licence to use the delivered images and video for the following purposes:

  • MLS / REBGV / FVREB and equivalent real estate board listing submissions.
  • Digital and print marketing for the specific property photographed (feature sheets, social media, brochures, listing portals such as Realtor.ca, REW.ca, Zillow).
  • Short-term rental platform listings (Airbnb, VRBO, Booking.com) for the specific property photographed.
  • Architect or developer portfolio use related to the specific project photographed.

The following uses require our prior written consent:

  • Use of images to promote a different property or in generic brand advertising campaigns.
  • Sale, sublicence, or transfer of images to a third-party image library or stock agency.
  • Use in national or international advertising campaigns.

Coastal Properties Photography retains full copyright to all images and video produced. We reserve the right to use any deliverables in our own portfolio, website, social media, and marketing materials, unless you request otherwise in writing at time of booking. Requests to restrict portfolio use may attract an additional fee.

10. Property Preparation

The quality of real estate photography is significantly influenced by how a property is presented on the day of the shoot. You are responsible for ensuring the property meets the following minimum standards before our arrival:

  • All rooms are clean, decluttered, and staged.
  • Personal items, valuables, and sensitive documents are removed or stored out of sight.
  • All interior lights are functional and switched on; all natural light sources (blinds, curtains) are adjusted as desired.
  • Vehicles are removed from driveways and the immediate front of the property.
  • Bins and recycling containers are stored out of frame.
  • Pets are secured off-site or in a single room for the duration of the shoot.

We will not be held responsible for image quality issues resulting from inadequate property preparation. If significant preparation is required upon arrival and agreed upon in advance, additional time may be billed at our hourly rate.

11. Limitation of Liability

To the maximum extent permitted by applicable British Columbia and Canadian law:

  • Our total liability to you for any claim arising from a single booking shall not exceed the amount paid for that booking.
  • We are not liable for any indirect, consequential, or special damages, including loss of listing sale proceeds, loss of rental income, or missed marketing deadlines, even if we have been advised of the possibility of such losses.
  • We are not responsible for pre-existing property conditions, staging decisions made by the client, or third-party platform display quality.

Nothing in these Terms limits liability for death, personal injury, or fraud caused by our negligence.

12. Indemnification

You agree to indemnify and hold harmless Coastal Properties Photography, its operator, agents, and subcontractors from any claim, loss, or expense (including reasonable legal fees) arising from: (a) your breach of these Terms; (b) your failure to obtain required approvals for drone or property access; (c) any misrepresentation you make regarding the property or your authority to grant access.

13. Intellectual Property of Third Parties

You warrant that you have the right to grant us access to the property and that no third party's intellectual property rights (e.g. artwork, murals, architectural elements under separate copyright) will be infringed by our photography. Any claims from third parties relating to property content are your responsibility.

14. Complaints & Revisions

If you are not satisfied with your delivered images, please contact us within 5 business days of gallery delivery. We will review your feedback and, where reasonable, provide one round of complimentary revisions (e.g. colour correction, horizon straightening, minor exposure adjustments). Requests received after 5 business days or requests for extensive re-editing are quoted separately.

Complaints regarding service conduct or operational issues should be submitted by email to hello@coastalphotography.ca. We aim to respond within 3 business days.

15. Privacy

Our collection and use of personal information is governed by our Privacy Policy, which forms part of these Terms and is incorporated by reference.

16. Governing Law

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein, without regard to conflict-of-law principles. Any dispute that cannot be resolved informally shall be submitted to the exclusive jurisdiction of the courts of British Columbia, sitting in Vancouver.

17. Changes to These Terms

We may update these Terms from time to time. The "Last updated" date at the top of this page will reflect any changes. Terms in force at the time of your confirmed booking apply to that engagement. Continued use of our services or website after updated Terms are posted constitutes acceptance of the revised Terms.
